How to manage Named Users

What is a Named User?

While any SCOM user can log on to SquaredUp, the number of users is restricted by the number of licences (Named Users) you have purchased from SquaredUp.

Named User licences are, by default, allocated automatically on a 'first come, first served' basis when new users log on to SquaredUp. Each unique domain\username logon identifier requires its own Named User licence in the list of Licensed users. For example, if you have purchased 50 licences, the first 50 users to log on will get automatically entered as Licensed users and will consume licences accordingly. Users without SCOM access cannot log in to SquaredUp, but they can view Open Access dashboards.

SquaredUp adheres to SCOM Role Based Access Control (RBAC), meaning that any SCOM user can log on to SquaredUp and RBAC will be applied. See How do SCOM roles and permissions affect what users can do in SquaredUp?

Named Users can be managed in SquaredUp from the right-hand menu ☰ > system > named users as described below.

As per our End User Licence Agreement, SquaredUp is designed to have a static allocation of a Named User licence to an individual user. The ability to manage Named Users is designed to allow you to; (i) ensure your licences are correctly allocated in the first instance (ii) re-allocate a licence in the event that it is inappropriately assigned (for example, if a user leaves your organisation).

How to manage Named Users

SCOM admin users can manage Named Users in SquaredUp from the right-hand menu ☰ > system > named users.

Named Users

The list of Licensed users shows users who are have been allocated a Named User licence. This section also shows you how many Named Users are available with your licence and how many have been used. If you are not seeing the full number of Named Users you have purchased with your SquaredUp licence please see the FAQs and Troubleshooting section below.

By default Automatic license allocation is set to on meaning that Named User licences are allocated automatically on a 'first come, first served' basis when new users log on to SquaredUp.

You can switch Automatic license allocation to off if you do not want licences to be allocated to any SCOM user as they log in to SquaredUp. You can then remove particular usernames from the list and add other usernames to pre-populate or 'whitelist' who is allowed log on.

If no licences are available, new users will be unable to log on to SquaredUp, and will receive the message No license available.

If you need more users on your license, please contact our sales team at [email protected].

Blocking users from logging on to SquaredUp

To stop particular users from logging on to SquaredUp add the username to the list of Blocked Users. You can do this either by clicking block next to their name in the list of Licensed users or adding the username to the list of Blocked users.

If one of these users tries to log on, they will see the message No license available and they will not consume one of your Named User licences.

These users will still be able to view any Open Access dashboards, as these are unauthenticated.

User permissions

By default any user logging into SquaredUp has access to view dashboards, but only SCOM admins can create dashboards and perform other administrative tasks.

User profiles allow you to grant users (either on an individual user or Active Directory group basis) the ability to create and edit dashboards, manage dashboard packs, and even manage SquaredUp itself. See How to manage profiles and How do SCOM roles and permissions affect what users can do in SquaredUp?.

User profiles also give you a mechanism to customise the navigation bar, so that users receive a different navigation experience depending upon their profile. See Customizing the navigation bar

FAQs and Troubleshooting Named Users

How can I view the list of SquaredUp Named Users

You can view the list of Named Users from the right-hand menu ☰ > system > named users. There is no way to get a list Named Users outside of this SquaredUp interface.

Can the same user access SquaredUp from more than one device?

A user can roam across devices, but cannot connect from more than one device simultaneously. A user can have SquaredUp open in several browser tabs on the same device at the same time, but cannot access SquaredUp from multiple different browsers at the same time.

Why have I only got 5 Named Users listed when I'm licensed for many more?

The Secondary licence defaults to 5 Named Users when it cannot communicate with the Primary server. If you have accidentally used the Secondary licence on your Primary SquaredUp server, or in a single server deployment, it will only show 5 Named Users. If you only have one SquaredUp server you should use your Primary licence on this server. The Secondary licence is for use with high availability (HA) and only when used in conjunction with a Primary licence.

If you are using high availability (HA) and the Secondary server is unable to communicate with the Primary server (failover), then it will revert to only 5 Named Users, see Without high availability enabled.

If you have recently purchased more Named Users you will need to reactivate your licence in order for SquaredUp to show the newly increased number of Named Users. See How to reactivate your licence

Why have I only got 3 Named Users listed when I'm licensed for many more?

The Test & Dev (Lab) licence allows 3 Named Users. In your production environment you should use your Primary licence (along with your Secondary licence when using HA) to see the full number of Named Users you have purchased.

I've purchased a licence expansion to increase the number of Named Users, why am I not seeing the increased number in SquaredUp?

If you have recently purchased more Named Users you will need to reactivate your licence in order for SquaredUp to show the newly increased number of Named Users. See How to reactivate your licence
